Position Information

The Executive Assistant will provide high-level administrative support to the CEO and the Executive Team members. Reporting directly to the CEO, this role manages the operations, administrative support and accounting for Goldbach Financial, Inc. which provides governance to the Raymond & Marie Goldbach Foundation, Inc. and various family trusts and estate. The Executive Assistant provides support to the senior executives within the executive management team by effectively planning and orchestrating work to ensure that the executives’ priorities are met, organizational goals achieved, and best practices are upheld. In addition, this role serves as a liaison to the Company’s Board of Directors. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Essential Functions

  • Provide organization, support, banking and accounting to the operations of Goldbach Financial, Inc, including the managed entities of Raymond and Marie Goldbach Foundation, Inc. and various family trusts and estate
  • Coordinate, maintain and file requisite documents for taxation compliance and filings required by Goldbach Financial operations
  • Coordinate activities of the Foundation by managing various scholarship programs and fielding and researching grant applications received
  • Coordinate invitations and logistics for various sporting, entertainment and arts events sponsored by the CEO and the Company
  • Organize calendar management, resolve scheduling issues, and manage content and flow of information involving senior executives
  • Organize team communications and plan events as applicable
  • Manage sensitive matters with a high level of confidentiality, discretion and good judgment
  • Draft and prepare correspondence for internal announcements, external organizations, and board meetings
  • Assist in preparing and managing agendas, reports, presentations and other documents through the use of Word, Excel, PowerPoint in support of objectives for the organization
  • Be responsive to emails/texts/phone calls, with contact outside of normal business hours occasionally
  • Monitor workflow for documents that require executive approval and signature
  • Coordinate arrangements between senior executives and employees for various engagement forums
  • Provide administrative support in the communication of strategic objectives and goals
  • Welcome the guests of executives by greeting them when onsite; answering or directing inquiries through phone or email
  • Represent the company and its executives in a positive light through great follow-through skills and sound judgment
  • Conserve time of the executives by reading, researching, collecting and analyzing information as needed, in advance
  • Complete ad hoc and special projects as assigned

Qualifications and Experience

  • Bachelor’s Degree or equivalent in Business, Accounting, Finance, Marketing, Paralegal or related field
  • 8 or more years of experience
  • Excellent communication and time management skills; proven ability to meet deadlines
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives
  • Prior experience supporting executives and/or C-suite required
  • Strong attention to detail
  • Self-starter and the ability to learn on own
  • Experience in QuickBooks and Quicken
  • Required to make reasoned judgements that are logical and well thought out
